The interview

When did you first realize that leverage was being created through this service?

The moment I realized the leverage was being created was actually before she even started because of the Atlas process that is so dialed from a hiring standpoint. We actually just had a call today and realized her year anniversary was today, and the evolution of what her role has been over that time has been incredible.

What was your workflow like before partnering with Atlas Assistants?

Before Atlas there was no workflow. It was all ad hoc. I was managing everything myself. We at one time had tried an assistant through a different service that was splitting between me and my co-founder, and it just wasn't freeing me up. I didn't fully trust the process to let go.

How did you hear about Atlas Assistants and why did you choose them?

We are part of this entrepreneurship mastermind group called 2X. A lot of the entrepreneurs in that group have used Atlas Assistants before and we actually got the chance to work with the founder, Zion, through 2X. Knowing all the really high-quality reviews that all the other entrepreneurs had and thinking so highly of Zion, it made sense to explore the process.

What makes the Atlas hiring and vetting process unique?

They have an awesome process. The vetting they do on the front end makes sure that you are only interviewing candidates that have experience, that are up to speed on modern tools that most CEOs and small businesses are gonna use, and have background working in comparable environments. You're already getting the filtered first-round interviews or screening interviews that you normally have to do yourself.

How does Atlas support the onboarding and communication between the CEO and the EA?

Once they start you have a shared chat between Atlas and your EA, so everything that you are communicating back and forth, Atlas is getting the chance to see. That is just really comforting from an onboarding standpoint. Eventually, the executive assistant takes over those meetings and actually leads them, all designed through a very structured role scorecard they create for you.

What advice do you have for entrepreneurs who are on the fence about the cost?

If you are more freed up as the CEO and founder, you are going to be able to be more strategic and bring way more value than whatever the fee you have to invest is because you're going to be freed up from doing the admin tasks that you should absolutely not be doing. The investment you're making is absolutely worth it. Don't think of it as an expense, think of it as an investment that frees you up to ultimately drive more growth.

Frequently asked

Is the cost of an executive assistant worth the investment for a small company?

Matthew Moheban explains that while the investment can feel hard for a small company, it is worth it because it frees the CEO to be more strategic and drive growth. He views it not as an expense, but as an investment that brings more value than the fee itself.

How does Atlas Assistants handle the hiring and vetting process?

Atlas manages the front-end vetting to ensure candidates have experience with modern tools and comparable environments. Matthew noted this saved him from performing the initial screening interviews himself.

What if I am worried about the difficulty of letting go of tasks?

Matthew acknowledges this common fear but highlights that Atlas uses a structured role scorecard and a shared chat during onboarding. This third-party oversight provided him with the comfort needed to successfully transition responsibilities.

Matthew Moheban (00:00) moment I realized the leverage was being created was actually before she even started because of the Atlas process that is so dialed from a hiring standpoint. we actually just had a call today and realized her year anniversary was today, and The evolution of what her role has been over that time has been incredible. So the leverage has been hard to... hard to overstate how valuable she's been. Hi, my name is Matthew Moheban. I'm the CEO and co-founder of 220 Youth Leadership. We help school districts meet diploma requirements through innovative learning. before Atlas there was no workflow. It was all ad hoc. I was managing everything myself. We at one time had tried an assistant through a different service that was splitting between me and my co-founder, and it just wasn't freeing me up. I didn't fully trust the process to let go. We are part of this entrepreneurship mastermind group called 2X. lot of the entrepreneurs in that group have used Atlas Assistants before and we actually got the chance to work with the founder, Zion, through 2X. and so just knowing all the really high-quality reviews that all the other entrepreneurs had about their Atlas Assistant, and knowing Zion and just thinking so highly of him, it made sense to go through Atlas at least explore the process. And then when I found my executive assistant, who was wonderful, it just made a ton of sense to go with Atlas. They have an awesome process. I would say it starts with the hiring. So the vetting that they do on the front end, make sure that you are only interviewing candidates that have experience, that are up to speed on modern tools that most CEOs and small businesses are gonna use, and have background working in comparable environments. So you're already getting the filtered, First-round interviews or screening interviews that you normally have to do yourself. And then once they start you have a shared chat between Atlas and your EA, so everything that you are communicating back and forth with your EA, Atlas is getting the chance to see. And that is just really comforting from an onboarding standpoint, that initial period, can be the time where you're learning the most about each other, you also have a third person and team behind that, And then eventually the executive assistant takes over those meetings and actually leads them. And that's all designed through Atlas's process. So they have a very structured role scorecard that they create for you. So it's just all super connected. And I think that makes the process really easy on the entrepreneur. If you're on the fence, it's probably because of two main things. One, you are worried about letting go, and two, you're worried about the cost. not because it's expensive, but just because it's another investment and as CEOs, especially if you're a small company, can feel hard to make that investment. if you are more freed up as the CEO and founder, you are going to be able to be more strategic and bring way more value than whatever the fee you have to invest is because you're going to be freed up from doing the admin tasks that you should absolutely not be doing. the investment you're making is absolutely worth it. Don't think of it as an expense, think of it as an investment that frees you up to ultimately drive more growth in the business, improve products, make more sales, or do whatever is your zone of genius. So you gotta do it, you gotta pull the trigger. It always is hard to make new decisions, but if you've never had an EA before and you're thinking about Atlas, Atlas is definitely the way to go.
